Eduvy Technologies Private Limited ("EDTPL", "we", "us", or "our") operates the "Eduvy Staff" mobile application. This Privacy Policy details how we collect, receive, store, process, use, and safeguard personal information and data in relation to the Eduvy Staff application.

This app is provided for use by the internal staff members ("Staff", "User", "you") of educational institutions ("Institutes") that license the Eduvy system. EDTPL acts as a Data Processor on behalf of the respective Institute (the Data Fiduciary/Controller).

By accessing, downloading, or using the Eduvy Staff application, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with any part of this policy, please do not use the application.

1. Information We Collect

To provide a secure and functional staff management interface, we collect the following categories of information:

A. Personal and Authentication Data

• Identities: Full name, email address, password, staff profession, profile image, and institution affiliation.
• Contact Information: Phone number and corresponding country codes.
• Note: These details are created and managed internally by your Institute. No public registration option is available on the application.

B. Operational and Financial Data

• Leaves & Attendance: Leave types, requested dates, leave balances, leave history, leave request reasons, and student attendance logs.
• Payroll & Salary: Salary summaries, payroll indices, and payslips (available for download as PDF or image).
• Reimbursement Claims: Expense titles, dates, claim amounts, descriptions, and remarks.

C. Media & Files (Device Permissions)

• Camera Captures: Photos of classrooms taken to match student records for attendance, or photos of receipts/bills taken for reimbursement.
• Document Uploads: Medical certificates, official proofs, or other files (PDF, DOC, DOCX, JPG, JPEG, PNG) uploaded as attachments for leave requests and reimbursement requests.
• Downloaded Files: Payslips downloaded and saved locally in your device's application directories.

D. Device and Technical Information

• Device Identifiers: Operating system type (Android/iOS), network connectivity status, and basic device information to enforce security protocols and prevent unauthorized access.

2. How We Use Your Information

We process user data solely to fulfill our contractual obligations to the Institutes and ensure the smooth execution of staff tasks, specifically for:

• Authentication & Access Control: Verifying credentials and maintaining your login session.
• Leave Management: Routing leave applications to appropriate administrators and calculating leave balances.
• Payroll Processing: Generating, displaying, and permitting secure downloads of payslips.
• Reimbursement Verification: Processing claim requests and attached invoice receipts for review by your Institute.
• Smart Student Attendance: Processing captured classroom photos using facial detection/recognition algorithms to match listing student IDs and automate classroom attendance updates.
• Staff Updates (Feed): Displaying institutional announcements, appreciation posts, and updates.

3. Storage and Data Security

We implement industry-standard security measures (such as HTTPS/TLS encryption for API calls) to safeguard your data against unauthorized access, loss, modification, or exposure.

• Classroom Photos: Photos captured for student attendance are transmitted securely to the server for facial recognition processing. They are not stored permanently on your personal device camera roll unless explicitly chosen.
• Local Storage: Local configuration parameters, session tokens, and user profiles are saved securely on your device using encrypted preferences.
• Acknowledge: While we apply advanced security protocols, no method of transmission over the Internet or electronic storage is 100% secure. You accept these inherent risks by using the services.

4. Third-Party Services & Analytics

• We do not sell, trade, or rent your personal information to third parties.
• Data may be shared with partnered service providers (such as hosting infrastructure or NBFCs partnered with the Institute) strictly to the extent required to execute institutional processes, and subject to confidentiality agreements.
• We comply with the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Information Technology Act, 2000. Non-compliance by any party will attract fines and penalties as defined by the governing regulatory frameworks.

5. Account Deletion and Data Retention

• No Self-Deletion: Since staff accounts are created internally by your Institute, you cannot directly delete your account from the app settings.
• Deletion Request: To request the deletion of your account and associated personal data, please contact your Institute's HR department or email us directly at support@eduvy.in.
• Retention: Upon receiving a valid request, we will delete or anonymize your data unless we are legally required to retain it, or unless the Institute requires retention for compliance, audits, or legal defense.

6. Your Rights

Under applicable laws (including India's DPDP Act, 2023), you hold the right to:

1. Access summary details of the personal data we process.
2. Correct, complete, or update inaccurate details.
3. Withdraw consent for optional data processing.
4. Seek grievance redressal for unresolved data privacy issues.

7. Children's Privacy

The Eduvy Staff application is designed for adult staff members and institutional employees. However, because staff members capture classroom photos (which may contain images of student minors) for automated attendance tracking, the Institute (acting as the Data Fiduciary) is responsible for securing necessary parental consent or legal authorization for student data capture. EDTPL processes such media strictly as a Data Processor under the directions of the Institute.
